Free pub rota maker

See what every day costs before you post the rota. Add your staff, put in their shifts, and it shows each day's real staff cost (with holiday pay, employer NI and pension) and what has to go through the till to pay for it. Free, no sign-up, no card. Saved on this phone only.

Step 1

Your staff

Name, hourly rate and age band. Under-21s cost less because there's no employer NI.

2027 minimums: 21+ £13.21, 18 to 20 £11.27, 16 to 17 and apprentices £8.31.

Step 2

How much of each £1 do you keep?

Worked on prices without VAT. Use your own figure.

Step 3

How the cost is worked out

Each person's cost for the week is their pay plus holiday pay at 12.07% (the usual rate for irregular hours), employer National Insurance at 15% on weekly earnings above £96.15 (none for under-21s, or if you tick Employment Allowance), and 3% employer pension on earnings above £120 a week for staff 22 and over earning more than £10,000 a year (we use 21+ as a guide). That cost is then shared across the days they work. "Needs through the till" is the staff cost divided by what you keep of each £1 after VAT. It doesn't count rent, rates, energy or stock losses.

2027 minimum wage rates from GOV.UK, 28 October 2026. NI and pension thresholds are 2026/27 figures and may change from April 2027. A planning aid, not payroll or legal advice. Never go below the cover you need to run the pub safely.
